Office Support Specialist
JOB FUNCTION: Under the general supervision of the Executive Director, the Office Support Specialist is responsible for accurate and timely processing of applications for assistance under programs offered by the Agency, and responsible for general support office duties.
Responsible for clerical duties which include, but are not limited to, answering the phone, copying customer information for applications, mailing postcards, scheduling appointments, filing and tracking of applications, etc.
Responsible for entry into and retrieval of data from the State Computer System and other Agency computers.
Assists in fiscal duties that include, but are not limited to, creating and processing LIHEAP/PIPP invoices, Grantee Quarterly Reporting, monthly grant reconciliations, and processing payments.
Takes applications for assistance and provides outreach, information and referral services, and undertakes such other duties as may be assigned.
GENERAL KNOWLEDGE AND SKILLS: Basic knowledge of basic office procedures, ability to communicate effectively with persons of diverse socioeconomic backgrounds, ability to prepare written and oral reports, ability to keep accurate records, protection of customer personal identifiable information, strong organizational, communication, and computer skills, and the ability to create and maintain effective working relationships with co-workers, general public, and State officials.
QUALIFICATIONS: Possession of a high school diploma; a minimum of three years experience in clerical work or any equivalent combination of training and social service experience is preferred.
Possession of valid driver’s license and automobile for use in work.
